Case Study – Knocklyon FC
Knocklyon United Football Club is one of the largest and fastest growing soccer clubs in Ireland. The club presently caters for approximately 550 players.
In 2011 I took over the role as treasurer of the club. This role involved all aspects of managing the finances of the club. The procedure in place was that cash or cheques were given to the team managers to pass onto the club. We did attempt to offer standing orders to help spread the cost of annual fees but we only had 50-60 parents who used this method. The biggest headache in addition to collecting the money was the management of the paperwork & accounting for the payments from such a manual procedure.
With the backing of the Club Executive I decided that for my second year as treasurer I would implement a system to help the club manage all payments and membership data.
We investigated various options and chose Easy Payments Plus because of its flexibility and value for money.
To implement Easy Payments Plus we simply defined our fee structure and added a simple link to our website. Parents and members were delighted to be able to pay online. They found it was convenient and easy to use. We provided our members with the facility to spread their membership payments over 6 months. The Easy Payments Plus system managed these automatic instalment payments. This facility proved to be very popular with members as it made payments more manageable.
For our club and in particular for myself as club treasurer it is very important to have total transparency of all procedures and to make sure all money received are accounted for correctly. Easy Payments Plus provides me with that. All payments received, cash, cheque or card are accurately recorded and receipts automatically generated and delivered via email.
The additional benefits of the system are the ability to produce reports on all members. The system includes a full membership database and we can access this from any location. Communication within the club has also improved because we are using the Easy Payments Plus built-in texting and email facility.
